Catching Refund Spikes Before They Become a Crisis
A wave of refund requests on a single SKU usually signals something bigger. Here's how to catch it early.
Refund spikes are one of the most undermonitored signals in e-commerce. By the time you notice a pattern in your Shopify refund reports, you've usually already processed 20–30 refunds — which means 20–30 unhappy customers, potential chargebacks, and a quality or fulfillment problem that's been festering for days.
What a refund spike looks like in the data
The pattern is usually clear in retrospect: a burst of refund requests for the same SKU, often with similar language in the reason field. “Wrong size,” “damaged on arrival,” “not as described.” When 6 refund requests come in for the same product in 2 hours, that's not random variation — it's a signal.
How the agent catches it
The agent monitors refund requests in real time — or every 30 minutes, depending on configuration. When it detects an unusual concentration of refunds on a specific SKU (above your baseline rate for that product), it sends an immediate alert:

Reason codes: “damaged on arrival” (4x), “defective” (2x)
Normal rate: <1 refund/day for this SKU
Recommendation: Review batch #4, check fulfillment center notes
That alert gives you time to investigate before more units ship. Maybe there's a bad production batch. Maybe the fulfillment center is mishandling fragile items. Maybe there's been a mis-pick. Whatever the cause, catching it in hour 2 instead of day 3 saves real money.
What you do with the alert
The agent surfaces the problem. You decide what to do: pause the SKU, contact the fulfillment center, reach out proactively to recent customers from the same batch. The agent doesn't take action automatically unless you've explicitly configured it to (for example, auto-pausing a listing after a threshold).
